    1. Introduction

    The Effective Communication Coach, LLC ("TECC," "we," "us," or "our") respects your privacy. This Privacy Policy explains how we collect, use, protect, and share information when you visit realcommcoach.com (the "Website"), submit a form, schedule an appointment, purchase a book or program, or communicate with us by email or text message. By using the Website or our services, you agree to the practices described in this Privacy Policy.

    2. Information We Collect

    2.1 Information you provide to us. We collect the information you choose to submit, including through:

    • Contact and inquiry forms: name, email address, phone number, organization, job title, the topic you are exploring, your message, and preferred timing.

    • Executive Coaching, Leadership Development, and Keynote/Speaking forms and questionnaires: organization details, event dates and locations, audience size, program goals, leadership or communication challenges you choose to share, and decision-process or logistics details you provide.

    • Calendar and appointment scheduling: name, email address, phone number, selected date and time, time zone, and answers to booking questions.

    • Book purchases and bulk-book inquiries: name, email address, phone number, billing and shipping addresses, organization, quantities, inscription requests, purchase order numbers, and invoicing contacts.

    • Program registrations and applications: information you provide to register for, apply to, or participate in our learning programs.

    • Communications: the content of emails, text messages, and other correspondence you send us.

    2.2 Information collected automatically. When you visit the Website, we and our service providers automatically collect certain technical and usage information, such as IP address, browser type, device type, operating system, referring URLs, pages viewed, time spent on pages, links clicked, approximate location (city or region derived from IP address), and cookie or similar identifiers.

    2.3 Payment information. Payments are processed by Stripe and other third-party payment processors. We do not collect or store full payment card numbers on our systems. We receive limited information from our processors, such as your name, billing address, the last four digits of your card, and transaction status.

    2.4 Information from service providers. We may receive information about you from service providers that help us operate our business, such as scheduling and payment platforms, when you interact with them on our behalf.

    3. How We Use Your Information

    We use the information we collect to:

    • Respond to inquiries, prepare proposals, and hold discovery or consultation calls

    • Schedule, confirm, remind you of, and reschedule appointments, sessions, and events

    • Deliver executive coaching, leadership development programs, keynotes, and learning programs

    • Process orders, payments, refunds, invoices, purchase orders, and book shipments

    • Send transactional communications about your inquiry, appointment, registration, or order

    • Send marketing emails, and send marketing text messages only to people who have expressly consented to receive them

    • Analyze Website traffic and improve our Website, content, and services

    • Protect the security of our Website and prevent fraud or misuse

    • Comply with legal obligations and enforce our Terms & Conditions

    We do not sell or rent your personal information.

    4. Cookies, Analytics, and Tracking Technologies

    We use cookies and similar technologies to operate the Website and understand how visitors use it.

    • Google Analytics 4 (GA4): collects usage information such as pages visited, session duration, device type, and approximate location to help us measure and improve Website performance. Google processes this information under its own privacy policy. You can opt out by installing the Google Analytics Opt-out Browser Add-on.

    • Google Tag Manager: a tag management tool we use to deploy and manage analytics and Website tags. Google Tag Manager itself does not store personal information, but the tags it loads may collect information as described in this section.

    You can control or delete cookies through your browser settings. Blocking cookies may affect how parts of the Website function. Because there is no uniform standard for "Do Not Track" browser signals, the Website does not currently respond to them.

    5. Email Communications

    We send transactional emails related to your inquiries, appointments, registrations, and orders. If you join our email list or become a client, we may also send newsletters, insights, and information about our programs and events. You can unsubscribe from marketing emails at any time using the link in any marketing email. Transactional emails may continue after you unsubscribe from marketing.

    6. SMS / Text Messaging

    6.1 Consent. We send text messages only to individuals who provide a mobile phone number and expressly consent to receive them, for example by checking an unchecked consent box on one of our forms. We offer two separate, optional types of consent:

    • Transactional and customer care messages: responses to your inquiry, appointment confirmations and reminders, registration and order updates, and customer support.

    • Marketing and promotional messages: program announcements, event invitations, and offers.

    Consent to receive text messages is not a condition of any purchase or service.

    6.2 Frequency and costs. Message frequency varies based on your interactions with us. Message and data rates may apply according to your mobile carrier plan.

    6.3 Opting out and help. You can opt out at any time by replying STOP (or CANCEL, END, QUIT, UNSUBSCRIBE, or STOPALL) to any message. You will receive one confirmation message, and no further messages will be sent unless you opt in again. Reply HELP for assistance, or email denise@realcommcoach.com.

    6.4 Carrier disclaimer. Mobile carriers are not liable for delayed or undelivered messages.

    6.5 How we handle mobile information. No mobile information will be shared with third parties or affiliates for marketing or promotional purposes. Information sharing with subcontractors in support services, such as customer service and text message delivery platforms, is permitted solely to deliver our messages. All other categories of information sharing described in this Privacy Policy exclude text messaging originator opt-in data and consent; this information will not be shared with any third parties.

    7. How We Share Information

    We share information only as needed to operate our business and deliver our services, including with:

    • Service providers that perform services on our behalf, such as CRM and marketing automation, email and text message delivery, appointment scheduling, payment processing (Stripe and other processors), website hosting, analytics (Google), video conferencing, printing, shipping and fulfillment, and accounting. These providers may use your information only to perform services for us.

    • Sponsoring organizations, when your organization sponsors a coaching or development engagement, limited to what is defined in the written engagement agreement.

    • Legal and safety purposes, when required by law, subpoena, or legal process, or to protect the rights, property, or safety of TECC, our clients, or others.

    • Business transfers, in connection with a merger, acquisition, or sale of assets, subject to this Privacy Policy.

    • With your consent, for any other purpose disclosed to you at the time.

    The mobile information protections in Section 6.5 apply to all sharing described in this section.

    8. Coaching Confidentiality

    Information you share during coaching sessions is treated as confidential and handled according to your written coaching agreement. For organization-sponsored engagements, the agreement defines what, if anything, is reported to the sponsor. Coaching communications are not protected by legal privilege.

    9. How We Protect Your Information

    We use reasonable administrative, technical, and physical safeguards to protect your information, including encrypted (SSL/TLS) connections, payment processing through PCI-DSS compliant providers, access limited to people who need it, and secured accounts with our service providers. No method of transmission or storage is completely secure, so we cannot guarantee absolute security.

    10. Data Retention

    We keep personal information only as long as needed for the purposes described in this Privacy Policy, including to provide services, maintain business and tax records, document communication consent, resolve disputes, and comply with legal obligations.

    11. Your Choices and Privacy Rights

    You may request to access, correct, or delete your personal information, or opt out of marketing communications, by emailing denise@realcommcoach.com. Depending on where you live, you may have additional rights under applicable state privacy laws. We may need to verify your identity before completing a request, and we will respond within the time required by applicable law. We will not discriminate against you for exercising your privacy rights.

    12. Children's Privacy

    The Website and our services are intended for adults 18 and older. We do not knowingly collect personal information from children under 13. If you believe a child has provided us information, contact us and we will delete it.

    13. Third-Party Links and Services

    The Website may link to third-party websites, platforms, and services. We are not responsible for their privacy practices, and we encourage you to review their privacy policies.

    14. Visitors Outside the United States

    TECC is based in the United States. Information you provide is processed and stored in the United States, where privacy laws may differ from those in your country.

    15. Changes to This Privacy Policy

    We may update this Privacy Policy from time to time. The updated version will be posted on this page with a revised "Last Updated" date. If we make material changes, we may also communicate them through a notice on the Website or by email, as appropriate.
